Guide G3 Managed IT
Managed IT starts with named responsibilities.
A business usually looks for ongoing help because important work has no dependable owner: onboarding, device lifecycle, Microsoft 365 changes, vendor coordination, documentation, or recurring user support. Before comparing providers, make those responsibilities visible.
G3 · Entry 01 Responsibility map
Ask who owns each recurring decision and task.
Two recurring gaps show up here often: a missing device-enrollment and patch-ownership process, and an unclear answer to who is actually monitoring and patching everything else.
People and access
Joiners, movers, and leavers, account recovery, permissions, and a clear user-support entry point.
Devices and applications
Inventory, lifecycle, maintenance, business software and hardware licensing, and coordination with vendors or internal owners.
Microsoft 365
Licensing, identity, MFA, and Conditional Access, configuration changes, collaboration services, and recurring tenant administration.
Operations and evidence
Documentation, decisions, open risks, tested recovery evidence, planned work, ownership boundaries, and a useful operating cadence.
G3 · Entry 02 Evaluation criteria
Compare the operating model, not just the service list.
| Decision | Question to answer | Useful evidence |
|---|---|---|
| Scope | Which people, devices, tenants, locations, and vendors are included? | Environment inventory and explicit exclusions |
| Ownership | Who decides, performs, approves, and escalates recurring work? | Responsibility map |
| Cadence | How are routine work, planned changes, and open decisions reviewed? | Sample agenda or work register |
| Transition | What information and access must move before responsibility is real? | Onboarding checklist and dependencies |
| Commercial fit | What pricing basis and term apply after scope is confirmed? | Destination-published offer and proposal |
G3 · Entry 03 Fit boundary
Ongoing care may be the wrong first route when…
- Only one isolated issue needs resolution and no recurring responsibility is changing.
- The required outcome is a bounded assessment, roadmap, migration, or implementation project.
- The organization cannot yet identify the environment or people in scope.
- A current incident requires an existing emergency or regulated response path.
- The buyer expects unspecified “everything IT” coverage without agreeing boundaries and dependencies.
